Position: Administrative and Operations Associate
Location: Augusta, Maine – on-site
Classification: Full-time, Regular, Exempt
Schedule: 40 hours/week; Monday – Friday
Salary: Band 1 – starting at $50,500

Role Summary:
As Administrative & Operations Associate, you will play a key role in making sure our Augusta office runs smoothly and efficiently. You will handle a variety of responsibilities including building operations, staff support, and administrative services. This position is on-site, due to the nature of facilities and front desk responsibilities.
Key Responsibilities
Operations & Facilities
- Conduct regular checks of the building and grounds and coordinate repairs or upkeep
- Maintain supplies and troubleshoot office equipment (printers, phones, etc.)
- Track contracts and coordinate with vendors
- Train new staff on phone and printer systems
- Collaborate with IT and Admin teams on equipment inventory
Administrative Support
- Greet visitors and assist with phone and in-person inquiries
- Coordinate mail handling and deliveries
- Schedule and support meetings, including calendar invites and tech support
- Maintain filing systems and update Standard Operating Procedures
- Provide support for meetings, retreats, and NRCM events
- Assist with financial and admin tasks (e.g., invoices, reports)
Qualifications
- Strong problem-solving skills with the ability to work independently
- Organized, detail-oriented, and able to manage multiple priorities
- Proficient in Microsoft Office and familiar with video conferencing platforms
- Comfortable using standard office equipment
- Collaborative team member with a positive, courteous approach
- Familiarity with nonprofit organizations is a plus

Physical & Schedule Requirements
