Position Summary:

Lawrence Berkeley National Laboratory (Berkeley Lab) is seeking a detail-oriented, proactive, and service-driven Administrator to join the Energy Sciences Network (ESnet) administrative team. This role is instrumental in enabling ESnet’s mission by delivering high-quality administrative support to both on-site and remote staff. The ideal candidate thrives in a fast-paced, team-oriented environment and demonstrates professionalism, discretion, and initiative while managing a variety of administrative, logistical, and operational tasks.

Under general supervision, the Administrator will manage multiple responsibilities—from calendar coordination and travel logistics to event planning and document preparation. This position requires excellent communication and organizational skills, an ability to adapt to changing priorities, and a collaborative approach to solving problems and improving processes.

Key Responsibilities:
  • Provide comprehensive administrative support to ESnet staff by managing scheduling, travel, purchasing, timekeeping, onboarding/offboarding, access requests, and documentation processes.
  • Organize and support meetings, events, workshops, and conferences—overseeing logistics such as travel arrangements, budget tracking, audio/visual setup, registration, and catering.
  • Skillfully coordinate complex domestic and international travel, including itineraries, adjustments, expense reconciliation, and compliance with institutional guidelines.
  • Monitor and update information systems such as Google Workspace, ServiceNow, Jira, and Confluence to ensure accuracy, transparency, and accountability across administrative functions.
  • Support the development and maintenance of divisional policies, reference materials, and procedural documentation to ensure consistency and alignment with LBNL and UC system guidelines.
  • Manage independent projects and support cross-functional initiatives from research and analysis to execution, leveraging sound judgment and timely communication.
  • Maintain communication networks with internal administrative teams to promote cross-divisional collaboration, knowledge sharing, and team success.
  • Ensure ergonomic support requests are handled efficiently and directed appropriately to maintain a safe and effective work environment.
  • Maintain a high level of customer service in all interactions with internal and external stakeholders, applying discretion, professionalism, and diplomacy.
  • Stay current on institutional policies and procedures to ensure accurate interpretation and application in all administrative matters.
Required Qualifications:
  • Bachelor’s degree (BA/BS) preferred; or 0–4 years of relevant experience or equivalent combination of education and experience.
  • Demonstrated experience in administrative functions, including calendar and email management, scheduling, travel coordination, procurement, expense processing, project coordination, and data tracking.
  • Proficiency in cloud-based and enterprise tools such as Microsoft Office Suite, Google Workspace, Adobe Acrobat, Zoom, ServiceNow, Jira, and Confluence.
  • Exceptional written communication skills, with a proven ability to draft professional correspondence, reports, and documentation.
  • Strong organizational skills with the ability to manage competing priorities, meet deadlines, and respond quickly to changing demands.
  • Excellent interpersonal skills with the ability to interact professionally and confidentially with staff at all organizational levels.
  • Ability to work independently and collaboratively in a team-oriented environment, taking initiative and offering proactive solutions.
