Job Title: Full-Time Office Manager – Healthcare Setting (Philadelphia   , Pennsylvania )

Job Type: Full Time

Work Hours: Monday - Friday: 9 AM-5 PM

Compensation: $75,000.00 - $100,000 per year + benefits 

We are seeking an experienced and proactive Office Manager to oversee the day-to-day operations of a busy and fast-paced medical or dental practice in Pennsylvania. As the central force behind a well-functioning office, you will play a key role in ensuring that our providers, support staff, and—most importantly—our patients experience seamless, efficient, and compassionate care.

As the Office Manager, you’ll take ownership of front and back-office functions, employee supervision, scheduling, and administrative compliance. You’ll be the go-to person for resolving challenges, optimizing workflows, and setting a tone of professionalism and positivity within the practice.

Job Duties:

  • Oversee all administrative operations, including scheduling, billing, patient intake, and insurance verification.
  • Supervise and train front desk staff, medical assistants, and other non-clinical team members.
  • Ensure regulatory and HIPAA compliance in all patient interactions and documentation.
  • Manage office supplies, inventory, and vendor relationships.
  • Collaborate with providers and clinical staff to optimize patient flow and clinic efficiency.
  • Prepare and analyze reports on productivity, billing, and patient satisfaction.
  • Handle HR-related tasks such as onboarding, performance reviews, timekeeping, and conflict resolution.

Qualifications:

  • Associate’s or Bachelor’s Degree in Healthcare Administration, Business, or related field preferred.
  • Minimum 3 years of experience in office management, ideally in a medical, dental, or healthcare setting.
  • Proficiency in EMR/EHR systems and Microsoft Office Suite.
  • Strong leadership, organizational, and communication skills.
  • A customer service mindset with the ability to multitask and problem-solve in real time.
  • Knowledge of medical billing and insurance processes is a plus.
  • CPR/First Aid certification (or willingness to obtain) preferred.
