The HR & Talent Operations Coordinator plays a key role in supporting Human Resources and Talent Acquisition operations by coordinating recruiting activities, onboarding, departmental operations, and people-related processes. This position helps ensure an exceptional experience for candidates, employees, hiring managers, and business partners while providing operational and administrative support across the HR function.
Reporting to the Vice President, Human Resources, this role coordinates talent acquisition, onboarding, HR operations, and department initiatives, helping ensure projects, meetings, communications, and people activities are executed efficiently and with a high level of quality.
Work Arrangement:
Employees who live within 30 miles of the TMG home office are expected to follow a hybrid or in-office schedule. The initial training period may require additional inoffice days.
Accountabilities:
Talent Acquisition Coordination
Coordinate candidate interviews and partner with recruiters, hiring managers, interview teams, and candidates.
Manage interview scheduling, meeting invitations, virtual meeting logistics, travel arrangements, and confirmations.
Serve as the primary coordinator for candidate communications.
Coordinate pre-employment activities including background and reference checks.
Maintain accurate candidate and requisition information in the ATS.
Maintain recruiting resources, interview guides, templates, and hiring documentation.
Coordinate recruiting reports, metrics, events, career fairs, internships, and university partnerships.
Support continuous improvement of Talent Acquisition processes.
Onboarding and Employee Experience
Coordinate onboarding activities, orientation sessions, welcome communications, onboarding materials, and key milestones.
Partner with HR, hiring managers, IT, Facilities, Executive Support, and other departments to ensure new hire readiness.
Maintain onboarding documentation, checklists, and resources.
Human Resources Operations
Provide administrative and operational support across the HR function.
Coordinate department meetings, calendars, agendas, recurring programs, and meeting materials.
Prepare presentations, reports, spreadsheets, organizational charts, and HR documentation.
Maintain department records and assist with HR reporting, metrics, and data analysis.
Support HR initiatives, process improvements, and training logistics.
Project and Process Coordination
Coordinate HR and Talent projects, meetings, action items, and milestone tracking.
Maintain HR documentation including workflows, SOPs, templates, and forms.
Partner with HR team members to continuously improve HR processes.
Leverage technology and AI to improve HR service delivery.
Department Operations and Leadership Support
Provide administrative support to HR leadership.
Support Marketing & Communications leadership with administrative coordination.
Coordinate calendars, meetings, travel arrangements, presentations, vendor meetings, and special projects.
Qualifications:
Post-secondary education in Human Resources, Business Administration, Communications, or related field preferred.
0-3 years of experience in HR, Talent Acquisition, Administration, Customer Service, Project Coordination, or related field.
Strong organizational, communication, planning, and project coordination skills.
Ability to manage multiple priorities, maintain confidentiality, and deliver exceptional customer service.
Proficiency with Microsoft Office applications.
Experience with Workday, HRIS, or Applicant Tracking Systems preferred.
Pay Range:
Anticipated Hiring Range:
$50,000 - $68,000annual base salary depending on experience, qualifications, and geographic location
