Job Title: Office Manager – Hospital Setting (Philadelphia , Pennsylvania )

Job Type: Full Time

Work Hours: Monday - Friday: 9 AM-5 PM

Compensation: $75,000.00 - $100,000 per year + benefits 

As the Office Manager, you will oversee and coordinate all administrative functions within the department, ensuring that processes are efficient, effective, and aligned with the hospital’s overarching mission. Your responsibilities will include managing office staff, overseeing patient scheduling, maintaining patient records, coordinating with other hospital departments, and ensuring that operations run seamlessly.

Job Duties:

  • Manage office staff, including recruitment, training, scheduling, and performance evaluations.
  • Oversee patient scheduling, ensuring appointments are properly scheduled, and manage any conflicts or cancellations.
  • Ensure accurate patient information is entered into the hospital’s electronic health records (EHR) system.
  • Handle billing and coding procedures in collaboration with the hospital’s finance team.
  • Manage inventory of office supplies, medical equipment, and ensure compliance with infection control policies.
  • Provide administrative support to physicians and other healthcare providers within the department.
  • Coordinate with the IT department to troubleshoot and resolve technical issues related to office equipment or EHR.
  • Ensure adherence to all healthcare regulations, including HIPAA compliance.
  • Track and report on departmental budgets, expenses, and operational metrics.
  • Address patient and staff inquiries, resolving concerns with tact and professionalism.
  • Act as a liaison between patients and clinical staff to ensure smooth communication

Qualifications:

  • Education: High school diploma or equivalent required. Associate’s or Bachelor’s degree in healthcare administration, business management, or a related field is preferred.
  • Experience: Minimum of 3–5 years of experience in office management, preferably in a healthcare setting (hospital, medical practice, or outpatient clinic).

Skills:

  • Strong leadership and management skills with experience supervising staff.
  • Excellent organizational, multitasking, and problem-solving abilities.
  • High proficiency with office software (e.g., Microsoft Office Suite, EHR systems, scheduling tools).
  • Knowledge of healthcare regulations, including HIPAA, OSHA, and insurance billing and coding practices.
  • Exceptional verbal and written communication skills to interact effectively with staff, patients, and vendors.
  • Ability to maintain confidentiality and professionalism at all times.
  • Familiarity with budget management and resource allocation..
