Job Title: Full-Time Office Manager – Hospital-Affiliated Clinic (Portland, Oregon)
Job Type: Full Time
Work Hours: Monday - Friday: 9 AM-5 PM
Compensation: $75,000.00 - $100,000 per year + benefits

As the operational backbone of the clinic, you'll ensure smooth day-to-day operations, support clinical workflows, and build a positive, high-performing environment for both patients and staff. Job Duties:
  • Oversee the front-office and back-office administrative functions, ensuring smooth scheduling, patient check-in/check-out, and medical record workflows
  • Manage supply orders, vendor relationships, and facility needs
  • Monitor clinic productivity, patient flow, and efficiency metrics
  • Lead and support a team of medical receptionists, medical assistants, and administrative staff
  • Coordinate training, timekeeping, staffing schedules, and performance reviews
  • Foster a collaborative, inclusive workplace aligned with hospital mission and values
  • Ensure exceptional customer service and resolve patient concerns
  • Implement feedback systems and service recovery initiatives
  • Monitor patient satisfaction and act on survey data
  • Ensure adherence to HIPAA, OSHA, Joint Commission, and organizational standards
  • Assist with budget management and reporting clinic performance to senior leadership
  • Coordinate quality improvement and risk mitigation initiatives
Qualifications:
  • Associate’s degree in healthcare, business, or related field (or equivalent experience)
  • 2+ years of experience in medical office operations, preferably in a leadership role
  • Working knowledge of HIPAA and clinic compliance standards
  • Proficiency with EHR systems (Epic experience is a plus) and Microsoft Office
  • Excellent communication, multitasking, and problem-solving skills
  • Bachelor’s degree in healthcare administration or related field
  • Experience managing staff in a hospital-affiliated or multi-provider clinic
  • Bilingual or bicultural skills (Spanish, Russian, Vietnamese, etc.)
  • Familiarity with scheduling systems, insurance billing, or referral workflows
