Job Summary:
The Senior Patient Services Specialist is responsible for delivering outstanding patient service and administrative support in a fast-paced environment. This role involves managing patient interactions, educating and training the sales force on fostering a great customer experience/delivering exceptional customer service, scheduling appointments, maintaining patient records, and ensuring a seamless experience for all clients while also taking into consideration the best interest of the business. The ideal candidate will possess experience in a leadership role, excellent communication skills, a strong attention to detail, and a passion for helping others.
Key Responsibilities:
- Address escalated patient inquiries and resolve any issues or concerns promptly and professionally. This may require collaboration with the medical, legal, and/or in-clinic or remote sales team.
- Shadow sales force to provide support and feedback on how to resolve patient issues/concerns and manage their clinics in an effective and professional manner.
- This includes holding an employee accountable and involving the proper parties if and when a protocol is not followed or an issue is poorly managed.
- Identify current issues/complaint trends and brainstorm/create solutions.
- Assist with managing and responding to patient feedback on social media platforms such as Google, Yelp, etc.
- Communicate effectively with team members to coordinate patient services and address any issues.
- Hold team members accountable for monitoring and resolving issues on internal platforms such as Slack, LMS, Zendesk, and via Escalate email group.
- Participate in Leadership discussions and training to elevate, improve, and evolve the Customer Experience and Service within the company.
- Participate in team/company meetings and training sessions to stay informed about new treatments, procedures, and protocols.
- Maintain accurate and up-to-date patient records, including contact information and treatment history.
- Ensure compliance with privacy regulations and handle sensitive information confidentially.
- Prepare, update, and coordinate patient files for appointments and follow-up visits.
- Assist with daily administrative tasks, including compiling patient records.
- Process payments and manage billing inquiries.
- Support marketing and promotional activities as needed.
What We're Looking For:
- Associate’s or bachelor’s degree in a related field preferred.
- Previous experience in a customer service or administrative role, preferably in a medical or med spa setting.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Proficiency in using scheduling and electronic health record systems.
- Ability to multitask and work effectively in a fast-paced environment.
